Our Information Technology department is seeking an energetic and organized individual who loves new and diverse challenges. This position will provide coordination and administrative support for IT staff and campus projects. RESPONSIBILITIES:

  • Provide general administrative support for the department including but not limited to coordinating departmental meetings/events, support for hiring committees, staff on-boarding and off-boarding assistance, coordinate IT-related activities for campus office space moves.

  • Departmental purchasing: track and order departmental supplies and consumables for classroom and event support. Monitor that expenditures are within budgeted amounts. Responsible for appropriately reconciling and tracking procurement card purchases.

  • Responsible for following and staying informed of University procurement compliance rules, processes, and standards. Identify and research answers to compliance questions, working with Fiscal and Audit Services and UW Seattle departments as appropriate. Advise IT staff regarding basic compliance questions and related University procedures.

  • Travel & Reimbursement Point Person with Fiscal & Audit Services for UW Bothell IT. Assist staff with completion of appropriate travel and reimbursement documentation for pre and post travel and purchasing. Answer basic policy and procedure questions related to travel and coordinate with Fiscal & Audit Services regarding advanced policy issues.

  • Attend UW Bothell Fiscal Fitness meetings and UW Seattle meetings and trainings related to fiscal and procurement issues and updates. Bring relevant information back to the department and recommend related adjustments to department practice and process.

  • Update departmental budget tracking spreadsheets and monitor for trends, identify any deviations from departmental spending plan, and recommend adjustments or improvements to budget tracking process.

  • Create and maintain records management systems for fiscal and HR related documents. Make recommendations for improvements to internal controls and departmental processes and procedures.

  • Support Campus Computer Replacement: Gather information and update documentation for tracking faculty/staff and classroom computers ready for replacement. Coordinate with School/Departmental contacts for follow-up questions, updates, general communications, and assist educate departments regarding the replacement policy, provide clarifications on policy and related proceures.

  • Assist with special projects as needed. Other duties as assigned.

  • Practice active listening skills and be respectful in all communications (verbal, non-verbal and written) to reduce conflicts, strengthen cooperation, and foster understanding.

  • Interpret and communicate information, ideas and instructions clearly and accurately both verbally and in written materials intended for distribution.

  • Work independently and collaboratively with manager and team members to create efficiencies, effectively complete work product, projects, and meet deadlines.


  • MINIMUM REQUIREMENTS:

    High school graduation or equivalent and two years of experience in the program specialty or equivalent education/experience.

    ADDITIONAL REQUIREMENTS:

  • Demonstrated self-starter with strong organizational skills and ability to manage multiple projects/tasks.

  • Ability to work successfully in a team environment, as well as independently.

  • Strong interpersonal skills, including effective written and oral communication.

  • Ability to problem solve, be detail oriented, take initiative, anticipate needs, and exercise good judgment.

  • Ability to perform successfully in a high volume setting with changing priorities and multiple deadlines.


  • DESIRED:

  • Bachelor’s degree in related field

  • Experience performing fiscal duties and working with compliance rules and policy.


  • WORKING CONDITIONS:

  • This position has the potential for hybrid work. On-campus work is required for many aspects of the position.
